Okay, I did tons of research when planning my wedding this year! (2022) Sooo let me save you some stress & give you a realistic checklist I created to save you some stress & maybe even something you forgot about!
Wedding Day
Ceremony:
LOCATION NAME
address, phone number, contact name & number
- application mailed/turned in (date)
- verified date with (pastor, coordinator, planner) (date)
- agreement picked up/filled out (date)
- $xxx deposit returned with agreement (date)
- Paid $xxx (date) via (cashiers check/check/cash)
Roughly $xxx for “Thanks Offerings”/honorarium/worship center/sound tech
Additional add-ons:
Organist/Pianist $150-$200
Soloist $100
(this was taken off my contract with our church, make sure you note anything you may want to need to discuss extra cost with. )
Questions to ask your ceremony venue:
- What is all included within the venue/church?
- What food and drinks are allowed?
- What do they use for audio/music at the ceremony?
- Is there a wedding coordinator included?
- Decorations allowed vs not allowed?
- Designated areas for bride & groom as well as wedding party
- Alternative options if needed for any reason (if your venue is outdoor, weather permitting where else could you hold your ceremony?)
- What does parking look like? You will want to know especially for handicap parking
Reception:
Location name
Contact name & phone number
- -$xxx deposit – $xxx Rent
- Paid $xxx (date) , wrote a check/cashiers check/ect.
Questions to ask your reception venue:
- do they provide tables, chairs, trash cans?
- stock bar yourself or do they have inhouse bartenders
- when can you get in to decorate? do they have a decorator? is there any decorating limitations? (open flame, rice, sparklers, esc.)
- shape and dimention of tables if provided for coverings (ex: round, square, rectangle?)
- Is your deposit refundable if everything is cleaned up the next day or does it go towards your final payment amount?
Photographer:

Contacts name & phone number
–Which package you are getting (name if there are multiple choices)
- Deposit $xxx

$xxx due by (date) **make sure you get the date off your contract so they are paid on or before the due date listed, this is important
Also , side note .. Make a list of the photo shots you may want. If you don’t ask they won’t know. (:
Cake:
Vendors Name
Vendors name & contact #
- $xx deposit
- Paid $xxx (date)

If you are getting multiple items from the same baker, I recommend making notes of what you are getting so you can refer back because trust me you will not remember. Plus if changes need to be made this will be so helpful. Examples:
-cut cake $60
- flavor – decorations – frosting – cake topper (be as detailed as possible)
-cookies $30/dozen
- chocolate Chip (1 dozen)
-cupcakes $35/dozen
- flavor
- flavor
- flavor
Dress:
Name of dress store
ADDRESS & PHONE NUMBER OF DRESS STORE
I would recommend to add the name of the assoiate you worked with, this can come in handy if you have any questions or issues even. It also will be helpful when it comes to writing your vendor reviews after your wedding.
$xxx dress total
– you can be as detailed or non as you want to be here, I would just be sure to add any extra pieces here you may have gotten as well (ex: head pieces, vail, belt)
- $xxx to order – usually they will require half of the dress amount down to get it ordered for you.
- $xxx to pick up dress
Alterations- $xxx (name & phone number)
Rings:
Jewelry Store Name
Address & Phone number
I would also add the name of the associate that helped you
Bride:
Paid & Picked-Up: $xxx (date)
- Deposit – $xxx (date)
- Paid – $xx (date)
- Picked up – (date)
- Extra tip, make sure you get your ring cleaned before your wedding! I personally had my ring & band soldered & cleaned a whole month before. You just don’t get to wear it until wedding day so it stays nice & clean
Groom:
Paid & Picked-Up: $xxx (date)
- Deposit – $xxx (date)
- Paid – $xx (date)
- Picked up – (date)
- Extra tip, make sure you get your ring cleaned before your wedding! I personally had my ring cleaned a whole month before.

Contacts name & phone number
- Deposit $xxx
- Paid $xxx (date)
- Paid $xxx (date)
$xxx due by (date) **make sure you get the date off your contract so they are paid on or before the due date listed, this is important
I would add notes to what items you want so again, you know & if anything needs to be made for changes. The more notes you make the happier you will be! Few questions to ask your florist too, will they drop off floral to you? If so, make sure you know where they will take them & what day & time.
Catering:
Caterers name
Contacts name & phone number
- Deposit $xxx
- Paid $xxx (date)
- Paid $xxx (date)
Type out your full menu or make note on what you are going to serve. If you choose to add it to invites or wedding website for guest then you will already have it done, *copy & paste* (;
?’s to ask them if they are going to provide items such as silverware, plates, napkins, salt & pepper. Will they stay & switch out food as needed? Do they come back & pick up afterwards if they don’t stay?
EXTRAS:
Do you want to do a bouquet & garter toss? – don’t forget to purchase those
I would also have some boutonniere pin’s on hand, you may need them if the florist doesn’t provide those & they are not very expensive.
Don’t forget a plan for lunch the day of, it can be a lot of waiting around. Sandwiches are usually easiest & less of a mess.
Maybe I’ll make another post just about what I put in my wedding day emergency kit (I also did quite a bit of looking for what to have in mine, then luckily hardly needed)
If you want to do a – Something Old , Something New, Something Borrowed, Something Blue ; don’t wait for the last minute to pick those items out.
